Clean CRM

The relationship moves.
The record keeps up.

Emails, meetings, notes, and commitments belong with the client. Prism helps keep that history current while your team does the actual work.

Use Voice as your CRM, keep an existing system in two-way sync, or bring several CRMs into one workspace. Work from the interface or tell Prism what changed.

Oakline · Pilot · $48,000 · Carol Susi
SummaryUpdated 2h ago

Oakline runs a 60-driver field team across two regions and loses site notes between the visit and the CRM. Carol Susi (Head of Operations) owns the pilot; John Park (IT) owns the security review. A 40-seat pilot is agreed in principle for November, pending John's questionnaire. Brian owes the revised quote and the pilot plan by Friday.

Capture it once.
Keep the context attached.

Connected emails, meeting notes, and recordings can become client activities. Tasks keep their source references. Add a call, note, or activity yourself when the conversation happened somewhere else.

The source

“The pilot is agreed.”

The meeting or email records the customer’s words, the people involved, and the promised next step.

The account

The right client and deal.

Use the named company, contacts, and meeting context to connect the activity. Review a match when the destination is unclear.

The next action

Quote due Friday.

The task, note, and deal update stay connected, so the next person can see what changed and why.

One view across
the CRMs your teams use.

A sales team in HubSpot and an enterprise team in Salesforce can work from the same Voice workspace. Each linked record keeps its source, and each update has a destination.

Changes from the connected CRM come into Voice. Updates made in Voice go back to the linked record. Review the example below, then bring an incoming CRM change into the same view.

Changes come back into Voice, too.

Your connection setup defines the records, fields, and activities that sync in each direction.

A complete record starts
with a useful question.

Company DNA tells Prism what your team needs to know. Budget, decision-maker, open risks, and a next step with an owner may matter more than another paragraph of meeting notes.

If the information is missing, Prism asks. If two accounts are plausible, confirm the destination. Corrections help it understand your process and improve future handoffs.

A clarification protects the meaning of the update.

A workspace for the whole relationship.

Clients, contacts, deals, activities, notes, and tasks are built in. You can run the sales workflow here without another CRM.

Boards for each team.

Separate new sales, renewals, or partnerships. Use stages, owners, and saved views that reflect each team’s process and KPIs.

Values you can explain.

Keep deal value and win probability visible. Review weighted pipeline, adjust your assumptions, and keep open opportunities distinct from closed revenue.

Shared work, clear access.

Share clients or whole pipelines. Comment on the client or a specific activity. Private notes and recordings stay out of shared views and CRM sync.

A few practical details.

Do we need a separate CRM?

No. Voice includes the client, deal, pipeline, activity, and task workspace. You can use it on its own or connect the CRMs you already have.

Can one request update more than one CRM?

Yes. Linked records keep their destinations. In the example, the Oakline stage update goes to HubSpot and the Northmoor follow-up goes to Salesforce.

Does sync include private notes?

Private notes and recordings stay private and are excluded from CRM sync. Shared activity follows the access and connection settings for your workspace.

What happens when the client match is unclear?

Review the possible client or deal and choose the correct destination. You can also correct the link later. The source conversation remains available for context.
